Privacy Policy

GateKeeper provides community and gate management software for gated and resort communities. GateKeeper is operated by Common Area LLC (“Common Area,” “we,” “us”). This policy explains what information we collect through our public marketing site at gatekeeperhoa.com and through the GateKeeper application, how we use it, who we share it with, and the choices you have.
Information we collect
We collect information in the following ways:
- Account and contact information. When you sign up, are invited to a community, or contact us, we collect your name, email address, phone number, and the role you hold in your community.
- Community and operational data. Community administrators enter data into GateKeeper to run their community — for example properties, residents, vehicles, guest passes, violations, service requests, and financial records. We process this data on behalf of the community as a service provider.
- Payment information. Payments are processed by our payment provider (Stripe). We do not store full card numbers on our systems.
- Information collected automatically. When you use our site we automatically collect technical log data (such as browser type and pages requested) and the behavioral analytics described in the next section.
Behavioral analytics on marketing pages
Our public marketing pages (such as the gatekeeperhoa.com home, pricing, features, blog, comparison, and contact pages) use a first-party analytics script called Compass, operated by our parent company Common Area LLC. Compass helps us understand which content is useful to which audiences.
On our marketing pages, Compass:
- Stores two first-party cookies in your browser — a visitor identifier (
cmp_vid, retained up to 365 days) and a session identifier (cmp_sid, retained 30 minutes) — on the gatekeeperhoa.com domain. - Records the pages you visit, how long you spend on them, how far you scroll, and any UTM campaign parameters in your URL.
- Hashes your IP address using a one-way function (SHA-256) with a daily-rotating salt before storage. Your raw IP address is never written to disk.
- Associates your visit with you in two cases: if you arrive via a link in one of our emails that carries a personal code, or if you submit a form on our marketing site that includes your email address (such as our contact form). In those cases your email is linked to the pages you visited so our follow-up is informed rather than generic.
- Honors your browser’s “Do Not Track” setting and the Compass opt-out described below — when either is present, the script does not run.
Compass is not active on the authenticated GateKeeper application. Anything past sign-in — including resident community pages, the admin console, account settings, login and signup, and community subdomains — is not tracked by Compass. Your day-to-day use of GateKeeper as a board member, resident, or administrator is not part of this analytics.
Compass data is stored in Common Area’s secure database, not in GateKeeper’s community database. It is used by Common Area’s sales and marketing team to understand content engagement and to inform outreach. It is not sold to data brokers, not shared with advertising networks, and not used for behavioral retargeting.
You can turn Compass off at any time on our privacy preferences page.
How we use information
We use the information we collect to:
- Provide, operate, and improve GateKeeper.
- Communicate with you about your account, your community, and support requests.
- Process payments and send billing-related notices.
- Understand how our marketing content performs and inform our sales follow-up.
- Protect the security and integrity of our service.
Data retention
We retain account and community data for as long as your community maintains an active relationship with GateKeeper, and as needed to comply with our legal obligations. Compass analytics data is retained by Common Area for as long as it remains useful for the purposes described above, after which it is deleted or further de-identified.
Security
We protect information using industry-standard measures, including encryption in transit, row-level access controls in our database, and one-way hashing of IP addresses in our analytics. No method of transmission or storage is completely secure, but we work to protect your information and to limit access to it.
Your rights and choices
- Opt out of analytics. Turn Compass off on our privacy preferences page, or enable “Do Not Track” in your browser.
- Access, correction, and deletion. You may request access to, correction of, or deletion of personal information we hold about you. To request deletion of analytics data associated with your visits, email privacy@gatekeeperhoa.com.
Children's privacy
GateKeeper is intended for use by communities and their administrators and residents. It is not directed to children, and we do not knowingly collect personal information from children.
Changes to this policy
We may update this policy from time to time. When we do, we will revise the “last revised” date at the top of this page. Material changes will be communicated through the service or by email.
